Case Study - From 13 months stalled to registered in eight weeks
NHS insourcing and outsourcing provider · West Midlands
The situation - A Fast Tracked Application
This provider had grown into work that brought them within scope of CQC registration. They were delivering insourcing and outsourcing capacity to the NHS — the kind of work that shortens waiting lists for people waiting on operations, some of them life-saving. The service was staffed, resourced and ready to run. What they could not do was operate it lawfully without being registered. Every week of delay was a week those lists did not move. They had been working with another consultant for over 13 months. In that time, no application had been submitted.
The problem
When I picked it up, there was a half-finished application and a set of supporting documents that no longer described the organisation. The business had grown substantially since the paperwork was started, and nothing had been updated to reflect what the service had actually become. A statement of purpose that describes a different organisation to the one applying is one of the most reliable ways to have an application returned.
What I did
I rewrote the application documents in full, and rebuilt the statement of purpose and every supporting document around the organisation as it exists now rather than as it was 13 months ago. Because there was a genuine and evidenced urgency to this — NHS capacity, patients waiting — I also supported them to assemble the documentation required for expedited handling, and made sure the application was routed correctly. Getting that wrong costs weeks on its own.
Then I prepared the nominated individual and Registered Manager for the fit person interview, and stayed with them through CQC's follow-up requests for further documentation until the registration was granted.
The outcome
✔ Instructed: 7 May 2026
✔ Submitted: 19 May 2026 — twelve days later
✔ Registered: 7 July 2026
Seven weeks from submission to registration, and eight weeks and five days end to end. For context, I normally tell providers to plan for 10 to 14 weeks from submission and to allow four months for the whole journey.
The application was not returned once.
One honest note: it moved faster than they expected, which meant the fit person interview arrived sooner than they'd mentally prepared for. They knew their service and they knew their evidence, so they were ready — but speed brings its own pressure, and it's worth being prepared for that from day one rather than assuming you have months.
